When you create an account, we collect your name, email address, password (stored in hashed form), company name, and any company/business information you choose to provide (such as a company description, website URL, and portfolio links or documents).

1.2 Email Account Access (Gmail / SMTP)

If you connect a Gmail account, we request the following Google API scopes, used strictly as described:

• gmail.send — to send outreach emails, replies, and follow-ups on your behalf to the leads you add to the platform.
• gmail.readonly — to check your connected inbox for replies from your leads, so our AI can detect their intent and respond appropriately. We only process emails relevant to matching lead conversations; we do not read, store, or analyze unrelated personal correspondence.
• calendar.events — to create calendar events with Google Meet links when a lead requests a meeting, and to read those events back to confirm creation succeeded. We do not access, modify, or view any other existing events on your calendar.

If you instead connect a custom SMTP/IMAP mailbox (e.g., Zoho, Hostinger, GoDaddy, or another provider), your mailbox credentials are encrypted at rest and used solely to send outreach emails and check for replies in the same manner described above.

1.3 Lead and Conversation Data

We store the lead information you upload or enter (such as name, email address, company, and country), the content of outbound emails generated on your behalf, and the content of inbound replies from your leads, so that conversation history can be displayed to you and used by our AI to generate contextually relevant follow-ups.

1.4 Payment Information

Subscription payments are processed by third-party payment gateways (such as Razorpay or PayPal). We do not store your full payment card details on our servers; we retain only transaction identifiers, subscription status, and billing history necessary to manage your account.

1.5 Usage and Technical Data

We automatically collect certain technical information, including IP address, browser/user-agent information, log data, and usage metrics (such as number of emails sent and AI credits consumed), to operate, secure, and improve the Service.

2. How We Use Your Information

We use the information described above to:

• Provide, operate, and maintain the Service, including generating and sending AI-powered outreach emails and follow-ups on your behalf.
• Detect and respond to replies from your leads, including scheduling meetings via Google Calendar when requested.
• Process payments and manage your subscription.
• Monitor, secure, and improve the Service, including diagnosing technical issues.
• Communicate with you about your account, updates, or support requests.
• Comply with legal obligations.

3. AI Processing

To generate outreach emails, analyze replies, and draft follow-ups, we transmit relevant content (such as your sender profile information, lead details, and conversation history) to a third-party AI provider (OpenAI) for processing. This content is used solely to generate the requested output for your account and is not used by us to train AI models. 4. Third-Party Service Providers

We share information with the following categories of third-party service providers, solely to the extent necessary to operate the Service:

• Google (Gmail API, Calendar API) — for sending/reading email and scheduling meetings, where you have connected a Google account.
• Payment gateways (Razorpay, PayPal) — for processing subscription payments.
• Hosting and infrastructure providers — for storing application data securely.

5. Data Retention

We retain your account information and lead/conversation data for as long as your account remains active, or as needed to provide the Service. You may request deletion of your account and associated data at any time by contacting us; some information may be retained where required for legal, accounting, or fraud-prevention purposes.

6. Data Security

We use industry-standard security measures, including encryption of sensitive credentials (such as SMTP mailbox passwords) at rest, to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to withdraw consent for Google account access at any time via your Google Account security settings (myaccount.google.com/permissions) or from within Efsolit AI's account settings.
